1. Notice of Non-Renewal

This letter serves as formal notice that your lease agreement for the property located at property_address (the "Premises") will not be renewed and will terminate on lease_end_date (the "Lease End Date"). Please be advised that you are required to vacate the Premises on or before move_out_date (the "Move-Out Date").

This notice is provided in accordance with the terms of your lease agreement and applicable state and local law. If applicable law requires a longer notice period than provided herein, please disregard this letter and contact us to discuss the appropriate timeline.

2. Reason for Non-Renewal

3. Move-Out Date and Time

You must vacate the Premises and surrender possession to the Landlord no later than 11:59 PM on move_out_date. All personal property must be removed, and the Premises must be returned to the condition required under your lease agreement (normal wear and tear excepted) by this date and time.

4. Move-Out Inspection

4.1 Pre-Move-Out Inspection

You have the right to request a pre-move-out inspection. If you wish to request such an inspection, please contact the Landlord in writing at least fifteen (15) days before the Move-Out Date. The purpose of the pre-move-out inspection is to identify any conditions that could result in deductions from your security deposit, giving you an opportunity to remedy those conditions before move-out.

4.2 Final Inspection

A final inspection will be conducted on or shortly after the Move-Out Date. You are welcome to be present during the final inspection. The Landlord will contact you to schedule the inspection at a mutually convenient time. If you are unavailable, the Landlord may conduct the inspection in your absence.

4.3 Condition Documentation

The Landlord will document the condition of the Premises during the final inspection, including photographs. This documentation will be used to determine any deductions from the security deposit.

5. Security Deposit

5.1 Return Process

Your security deposit will be returned, less any lawful deductions, within the time period required by applicable state law after you have vacated the Premises and returned all keys and access devices. In most jurisdictions, this period ranges from fourteen (14) to thirty (30) days.

5.2 Potential Deductions

Deductions from the security deposit may be made for:

(a) Unpaid rent or other charges owed under the lease agreement;

(b) Costs of repairing damage to the Premises beyond normal wear and tear;

(c) Costs of cleaning the Premises if it is not left in a reasonably clean condition;

(d) Replacement of unreturned keys or access devices; and

(e) Any other deductions permitted by applicable law and the terms of your lease.

5.3 Itemized Statement

If any deductions are made, the Landlord will provide you with an itemized statement describing each deduction, along with the remaining balance of the deposit. Receipts or estimates for repair costs will be included as required by law.

6. Cleaning Requirements

To maximize the return of your security deposit, please ensure the Premises is cleaned thoroughly before move-out, including:

(a) All rooms vacuumed and/or mopped;

(b) Kitchen cleaned, including oven, stovetop, refrigerator (inside and out), dishwasher, countertops, cabinets, and sink;

(c) Bathrooms cleaned, including toilet, shower/tub, sink, mirrors, and cabinets;

(d) All windows cleaned (interior);

(e) All closets and storage areas emptied and cleaned;

(f) Light fixtures and ceiling fans dusted and cleaned;

(g) All walls cleaned (remove picture hangers, fill nail holes with spackle);

(h) Garage and/or storage unit emptied and swept; and

(i) Yard, patio, or balcony cleaned and free of debris (if applicable).

7. Key and Access Device Return

All keys, mailbox keys, garage door openers, gate cards, parking passes, and other access devices must be returned to the Landlord on or before the Move-Out Date. You may return them in person, by leaving them inside the Premises (in a location agreed upon with the Landlord), or by mail. Unreturned keys or devices may result in deductions from the security deposit and/or the cost of changing locks.

8. Forwarding Address

Please provide the Landlord with a forwarding address in writing before the Move-Out Date. The forwarding address is needed for:

(a) Return of the security deposit;

(b) The itemized statement of deductions;

(c) Any remaining correspondence; and

(d) Forwarding of mail received at the Premises after your departure.

If you do not provide a forwarding address, the Landlord will mail the security deposit to the last known address (the Premises), which may result in delays in your receipt of funds.

9. Final Utility Readings

Please arrange to have all utilities that are in your name transferred out of your name or disconnected as of the Move-Out Date. Please provide the Landlord with final meter readings (if applicable) or copies of final utility bills. You are responsible for all utility charges through the Move-Out Date.

10. Outstanding Balance

Please ensure that all rent, late fees, and other charges owed under your lease are paid in full before the Move-Out Date. Any outstanding balance will be deducted from your security deposit. If the outstanding balance exceeds the security deposit, you will be responsible for the remaining amount.

11. Personal Property

Any personal property left at the Premises after the Move-Out Date will be considered abandoned. Abandoned property may be disposed of in accordance with applicable state law, which may include storage for a specified period followed by disposal or sale. You may be charged for costs associated with the removal and storage of abandoned property.

12. Holdover

If you fail to vacate the Premises by the Move-Out Date, you will be considered a holdover tenant and may be subject to increased rent (as specified in your lease agreement or as permitted by law) and legal proceedings for possession of the Premises.
